terms & conditions

All persons wishing to make a booking have carefully read and understand the terms and conditions that follow. By making a booking by telephone, on our website, by email or facsimile with Belize Concierge, you accept and are bound by these terms. The following is a contract between Belize Concierge and the person booking a vacation trip, in which case they will be referred to as the Client. Holiday season as stated in this document is the following specified time period: December 15th- January 10th.

 

All prices are in US dollars and are subject to change without notice. All excursions are subject to a 9% sales tax. Select excursions have a min. person requirement and are non-refundable. Government park fees for excursions are due at time of excursion and Belize concierge will not be held responsible for said fees. Hotels are subject to 9% sales tax and depending on the hotel may have a service charge between 5%-10%. Government taxes subject to change without notice. No discounts or refunds will be issued due to missed or unused services, this includes voluntary or involuntary terminations, i.e. sickness, death of family member, etc.  Unused proportions of packages, not taken by customer are non-refundable. Gratuities are not included in any prices and are to remain completely separate from any Belize Concierge bookings. Equipment rentals are in addition, unless otherwise specified in your itinerary. A credit card imprint may be required at time of check-in for any additional services or rentals such as but not limited to;  telephone usage, incidental charges, golf cart rental, bicycle rental, room service, etc.  that may be incurred during the duration of your stay.  Smoking and bedding preferences are not guaranteed. Any incidental charges such as extra person fees, phone calls, and room services charges will be handled directly between you and the property. Belize concierge is not responsible for any incidental expenses that you may have incurred as a result of your booking such as visas, vaccinations, non-refundable fights or loss of enjoyment, etc.

 

Belize Concierge reserves the right to refuse service or cancel travels at any time, to any persons.

 

All guest with a hotel booking will be collected at the San Pedro, Ambergris Caye airstrip by the resort’s courtesy shuttle and will be transported from San Pedro by resort boat or by a resort taxi to the property.

 

 

Payment and Cancellation Policy

 

Booking:  50% deposit is due at time of booking and confirmation will be sent. Full payment is due 60 days prior to date of arrival. If a booking is made within 60 days before date of arrival, payment is due in full at time of confirmation. For major holiday months, final payment is due 90 days prior to date of arrival.

 

Rates and conditions are subject to change without prior notice until the deposit has been received and reservations are confirmed. Payment of deposit is taken as acknowledgement and agreement of the terms and conditions.

We accept company and personal checks into our bank account, but the amount of the check must be fully cleared through our account before reservation is confirmed and/or before the start of the 60-day period.
On all cancellations on amount paid by credit card, we reserve the right to withhold 5% of the amount to cover credit card charges and fees.

CANCELLATIONS/CHANGE FEES APPLY PER PERSON. There will be no refunds for no-shows or early checkouts. Once booking is confirmed with deposit, there will be a $35.00 charge per booking for each change to cover administrative fees. All cancellations must be made in writing and received by Belize Concierge within the time specified. If cancellation is made 60 days or less, there will be NO REFUND. A refund of 50% of entire trip package will be granted, if cancellation is received no less than 60 days prior to date of arrival. For major holiday periods no refund will be issued 90 days prior to date of arrival. Approved refunds will be issued in the form of credit to be applied to future reservations. There will be no refunds for no shows, early departure, late arrivals, or unused portions of accommodations, activities, excursions or other services that are non-refundable. If cancellation is received within 10 days after bookings and not in holiday season than full refund will be made less administrative fees of $200.00 per person of entire booking. If due to unforeseen circumstances, we have to cancel the tour and you are unable to reschedule due to weather or other conditions, and in such an event, no refund allowance will be issued. There will be no refunds due to airline delays or acts of GOD, including weather-related problems. Belize Concierge assumes no responsibility to any injury, damage, or loss of property or person as a result of any services provided by Belize Concierge, its employees or contracted companies.

 

 

RESPONSIBILITIES: I / We am aware that during the tour, or trip certain risk and dangers may occur, including but not limited to the hazards of traveling down rivers or oceans by boat or raft, horseback-riding, hiking, rock climbing, caving, sailing in open water, accident or illness in remote places without medical facilities, forces or nature and travel by air, automobile or other conveyance. In consideration of, and a part payment for the right to participate in such trips and other activities, services and food arranged by Belize Concierge, their agents or associates, I have read and do hereby assume all of the above risks and will hold them harmless for any and all liability action, in causes of action, debts, claims and demands of every kind and nature whatsoever which may arise of or in connection with my trip or participation in any activities arranged by Belize Concierge and their agents or administrators and for all members of my family and others accompanying and booked for by me. I have read and accept the conditions outlined above, and enclosed required deposit. Belize Concierge releases all responsibility for lost or stolen goods, objects or personal belongings.

 

 

CANCELLATION OF A TOUR BY BELIZE CONCIERGE

Belize Concierge reserves the right to cancel any trip before it is guaranteed to run. This applies to departures within the brochure validity range. Belize Concierge reserves the right to cancel any trip, at any time prior to departure due to terrorism, natural disasters, political instability or other external events which make it unviable for the Company to operate our planned schedule. If Belize Concierge cancels a group adventure trip on which you are holding a full-paid booking you may choose between an alternative trip or a full refund (minus administrative fees.) Belize Concierge is not responsible any incidental expenses that you may have incurred as a result of your booking such as visas, vaccinations, non-refundable flights or loss of enjoyment, etc. If the alternative trip chosen is of a lower value than that originally booked then you are entitled to a refund of the price difference. If the alternative tour is chosen is of a higher value then you will pay the difference in price.

 

UNUSED SERVICES

There will be no discounts or monies refunded for missed or unused services, this includes voluntary or involuntary termination, ie. sickness, death of a family member, etc.

 

BROCHURE VALIDITY

The prices in this brochure and on our website are based on exchange rates and costs in effect at time of printing the brochure or posting to our website. Belize Concierge reserves the right to alter prices for new bookings if these rates change substantially.

 

PRICES AND SURCHARGES

We reserve the right to impose surcharges (price increases) up to 60 days before departure due to unfavorable changes in exchange rates, increases in air fare or other transportation costs, increases in local operator costs, taxes, or if government action should require us to do so. If any surcharge results in an increase of more than 10% of the tour cost excluding insurance premiums the Client may cancel the booking within 14 days of notification of the surcharge and obtain a full refund (minus administrative fees).

 

FLEXIBILITY

The Client appreciates and acknowledges that the nature of this type of travel requires considerable flexibility and should allow for alternatives. The itinerary provided for each tour is merely representative of the types of activities contemplated, and Belize Concierge is under no contractual obligation to strictly follow it. It is understood that the route, schedules, itineraries, amenities and mode of transport may be subject to alteration without prior notice due to local circumstances or events, which may include sickness or mechanical breakdown, interior flight cancellations, strikes, events emanating from political disputes, entry or border difficulties, climate and other unpredictable or unforeseeable circumstances.

 

CHANGES

(a) Changes made by Belize Concierge: Belize Concierge reserves the right to change any of the facilities, services or prices described in the brochure before a booking is made. If such a change is made, the Client will be told at the time of booking or when the change occurs. While Belize Concierge will endeavor to operate all tours as advertised, reasonable changes in the itinerary may be made where deemed necessary or advisable by Belize Concierge or the companies used by Belize Concierge. If Belize Concierge makes a major change, Belize Concierge will inform the Client as soon as reasonably possible if there is time before departure. The definition of a major change is deemed to be a change affecting at least one day in five of the itinerary. If the major change is due to force majeure or unforeseen circumstances no compensation is payable. When a major change is made the Client may choose between accepting the change, obtaining a full refund of all monies paid (minus administrative fees) or accepting any alternative tour offered by Belize Concierge.

(b) Transfer to another departure (by Client): A transfer from one tour to another can only be made more than 90 days, before departure date and if approved by Belize Concierge. If such a request is accepted by Belize Concierge, Belize Concierge reserves the right to charge an administration fee of 10% of the value of the first booked tour. Any request to transfer received less than 90 days, before departure will not normally be accepted. In this case the Client must cancel the booking and then re-book on another tour. A Client may only transfer a booking to a departure date in the current season and may not transfer a booking to future seasons. Any such transfers will be regarded as cancellations and cancellation fees will apply.

(c) Transfer of name: If you are prevented from traveling on the tour you booked by circumstances such as those which would permit you to make a claim on a standard cancellation insurance policy, you may transfer your booking to another person, provided they meet all the requirements relating to that tour. More than 90 days, before departure, administrative fee of 10% of the total value of the tour will apply. Within 90 days, name transfers are not permitted.

(d) Amendments: Within 60 days of departure any amendments to a file will depend on availability and will be on a request basis. Any extra costs incurred for making the change will be charged along with an amendment fee of USD$50.00/CAD$50.00. No amendments are permitted to your booking within 10 days of departure.

 

ACCEPTANCE OF RISK

The Client acknowledges that the nature of the tour is adventurous and may involve a significant amount of personal risk. The Client hereby assumes all such risk and does hereby release Belize Concierge from all claims and causes of action arising from any damages or injuries or death resulting from these inherent risks

 

TRAVEL DOCUMENTS

The Client must be in possession of a valid passport required for entry, departure and travel through each destination point along the itinerary of the tour, (your passport must be valid 6 months past your return date), all visas, permits and certificates including vaccination certificates, insurance policies, required for the whole of the journey. The Client accepts full responsibility for obtaining all such documents and permits, and is solely responsible for any adverse consequences resulting from missing or defective documentation. Any information or advice given by Belize Concierge regarding visas, vaccinations, climate, clothing, baggage, special equipment, etc. is purely advisory, provided as a courtesy to the Client, and Belize Concierge is not responsible for any errors or omissions as to the information provided.

 

FACTORS OUTSIDE BELIZE CONCIERGE’S CONTROL (FORCE MAJEURE)

Belize Concierge shall not be liable in any way to the Client for death, bodily injury, illness, damage, delay or other loss or detriment to person or property or for Belize Concierge failure to commence, perform and/ or complete any duty owed to the Client if such death, delay, bodily injury (including emotional distress or injury), illness, damage or other loss or detriment to person or property is caused by Act of God, war or war like operations, terrorist activities, civil commotions, labor difficulties, whether or not Belize Concierge is a party thereto, interference by authorities, political disturbance, howsoever and where so ever any of the same may arise or be caused, riot, insurrection and government restraint, fire, or any other cause whatsoever beyond the reasonable control of Belize Concierge.

 

 

Belize Concierge acts as an agent for transport companies, hotels and other contractors and shall not be held liable for any injury, damage, loss, delay or irregularity that may occur, including, but not limited to, any defect in a vehicle or any other form of conveying a traveler, acts of God, detention, delays or expenses arising from quarantine, strike, riots, theft, force majeure, civil disturbance, government restriction or regulation, accident by aircraft, boat, bicycle, motor vehicle or any other form of transport or in any hotel or guest house, pension, or other form of accommodation. The Client acknowledges that the quality of the products organized by Belize Concierge, including accommodations and all other services related to the tour which are organized by Belize Concierge, are not within the control of Belize Concierge and that in any event the quality of such products may be compromised by local conditions.

Accordingly, the Client hereby releases Belize Concierge from all claims and causes of action arising from any damages, loss of enjoyment, inconvenience, or injuries related to the quality of such products. The information contained in this brochure or posted on this website is correct to the best of Belize Concierge knowledge and Belize Concierge accepts no liability for any innocent inaccuracies contained herein. Belize Concierge reserves the right to alter any itinerary in progress or service at any time without penalty to Belize Concierge. Any additional expense or cancellation shall be borne by the customer. Companies contracted by Belize Concierge reserve the right to withdraw or refuse any service to any client at the discretion of the organizer.

 

CLAIMS AND COMPLAINTS

If a Client has a complaint against Belize Concierge the Client must first inform the tour leader or company representative whilst on the tour in order that the leader/representative can attempt to rectify the matter. If satisfaction is still not reached through these means then any further complaint must be put in writing to the Belize Concierge within 30 days of the end of the tour. Belize Concierge will not accept any liability for claims received after this period.

 

 

SUPPLIERS CONDITIONS

Airlines, railways, coach and shipping companies and other suppliers have their own booking conditions or conditions of carriage, and you will be bound by these as far as the relevant transport provider or supplier is concerned. Some of these conditions may limit or exclude liability on the part of the relevant transport provider or other supplier, and they are often also subject to various international conventions.

 

LOCAL CONDITIONS

Client acknowledges that she/he will be visiting places where the political, cultural and geographical attributes present certain risks, dangers and physical challenges greater than those present in our daily lives. By booking travel with Belize Concierge, Client acknowledges that she/he has considered the potential risks, dangers and challenges, and expressly assumes the risks attendant to such travel conditions. Client is solely responsible for acquainting her/himself with the customs, weather conditions, physical challenges and laws in effect at each stop along the itinerary, and is encouraged to locate or make contact prior to embarkation with his/her local embassy or consulate in each destination.

 

OPTIONAL EXTRAS

Optional extras do not form part of the tour or contract. It is understood and accepted by the Client that any assistance given by the tour leader or representative in arranging optional extras does not render Belize Concierge liable for optional extras. Amongst others, optional extras include rafting, sightseeing flights and other extras which are not included in the tour price.

 

ERRORS AND OMISSIONS

Although Belize Concierge has made a concerted attempt to verify the accuracy of statements made herein and Belize Concierge cannot be held responsible for any error, omission or unintentional misrepresentation that may appear in this brochure or on our website.

 

PRIVACY POLICY

We will provide your personal information, as well as any personal information you provide in relation to the persons whose travel arrangements have been requested by you, to suppliers and carriers to enable the operation of the services requested by you. We do our utmost to protect your personal information.
